Resource Management Feature Release (#6704):

  • In this update a suite of Resource Management features described below will be enabled for General Availability environments.

Resourcing Quick Start Guide

The following steps are required to be performed by a user with IQ Admin permissions to fully enable the new Resource Management features. Contact Sensei Client Care if you need assistance:

  1. Allocate users who need to approve resource requests to the Sensei IQ - Resource Manager Security Role
  2. Deploy the Resource Insights Power BI Report.
    • Download the template.
    • Open the template file in Power BI Desktop and connect & refresh it against your Sensei IQ deployment
    • Allow the report to refresh the data
    • Publish the Report to a Power BI Workspace that the Sensei IQ users have access to.
    • Open the newly published report in Power BI online and collect the Embed URL
    • Navigate to the Sensei IQ -> Configuration Settings area, and change view to Inactive Sensei Config Settings. Locate the Power BI Insights - Resource IQ setting and activate it.
    • Update the setting value with the Embed URL collected earlier.
  3. Create some Bookable Resources for your key people, ensuring the default Enterprise Calendar is set.
  4. Start creating resource plans using the new Resources tab on the Project form, and approving requests via the Resource Demand view in the Resources Area.

Resource Management Update Overview

  • Project Resource Plan view. Resource requests can be proposed and submitted by Project Managers or those who have write access to projects via a new Resources tab on the Project form.
  • Proposal Resource Plan view. Resource Plans can also be created against Proposals. Time planned against Proposals can't be submitted until the Proposal is promoted into a Project. When a Proposal is promoted into a new Project, the Resource Plan will move to the Project where it can be adjusted, submitted and approvd. When a Proposal is promoted to a Project a summary of the Resource Plan is recorded against the Proposal on a History tab. For organisations that require committed time at the Proposal level contact us for instructions to enable this.
  • Resource Demand view. Line managers of resources (who also have the new Resource Manager security role) will be able to manage demand for their resources via the Resource Demand screen. This is accessible via the Resources Area in the bottom left of the screen.
  • Resource Allocation view. When viewing a bookable resource record a new tab called Allocation is available that enables a view of all the work a resource is committed to.
  • Enterprise Calendars. To enable the calculation of capacity for each Bookable Resource, Enterprise Calendars are used to represent the available work days for each Bookable Resource. Enterprise calendars are usually common to a region, department or office location. The capacity of a Bookable Resource will be calculated per day between the resource's Start & End Date within the Resource Capacity Horizon for the installation. Learn more about Resource Capacity...
  • Calendar Exceptions. When a Bookable Resource is taking leave or is unavailable, you can remove their available capacity for resource planning. This is done by creating Calendar Exceptions for each resource.
  • Resource Manager Security Role. A new security role called Sensei IQ - Resource Manager has been added to help control which end users see the additional Resources Area menu. Learn more about the modular security model...
  • Comment System. Resource Requests within Resource Plans have a comment system available to facilitate the collaboration between resource requesters and approvers. These comments can be used to provide additional contextual information for each request and the way in which it is addressed by the resource manager.
  • Resource Approval Notification Flows. When a request is made for a resource in a resource plan, it is often desirable for the Line Manager of the resource to be made aware of the request so they can attend to the approval of the request. Additionally when a request is approved it may be desirable for the originating requester to be informed of the outcome of the approval. Email notifications for these scenarios can be turned on by enabling two flows that are supplied with the solution. Learn how to enable the Sensei IQ Power Automate Flows...
  • Linking of External Resources. There is an additional field on the Bookable Resource form to cater for the scenario when resources from External Systems synced via Task Sync need to associated with named Bookable Resources. This enables additional reporting features to aggregate resource activity across multiple systems.
  • Resource Cost / Sell Rates. Cost and Sell rates per resource can now be set via a tab on the Bookable Resource form. This is used when calculating the proposed cost of a Resource Plan attached to proposals, and will be used further in future features.
  • Resource Availability Heatmap. A color coded representation of net availability is provided in the Availability Heatmap. This view can be used to quickly ascertain the resource usage across the organisation and balance over-allocations between resources and projects.
  • Power BI Resource Insights Report. A suite of of Power BI reporting accompanies the Resource Management features. For new deployments the Sensei deployment engineer will deploy this report, and for Existing customers the report can be downloaded and deployed as per the instructions in the QUick STart guide above. If you would like assistance deploying the report please contact Sensei Client Care for assistance.
  • New Landing and Welcome Pages. A new refreshed landing page now includes handy links directly to the Resourcing features if you have access to them via the new security role.

In the case where an Enterprise calendar indicates a non-work day for the Generic resource, this is indicated by no value for capacity (the same as named resources).
